Dear students, dear colleagues at the faculty,

Deanery, persons in charge at the departments and Faculty Administration are working closely together to find solutions for any current questions concerning research, teaching and examinations while also adapting the connected administrative procedures. On this site, you can find all new information, regulations and decisions connected to the Faculty of Humanities. They are organized by divisions and will be updated regularily and processed systematically.

II. Academic Affairs

Doctoral affairs at the Faculty of Humanities

 

Defense [as of 01.04.2021]
 
Defenses will take place. The Office for Doctoral Affairs will inform the doctoral candidate and the Committee about the specifics on opening the procedures.

 

Display [as of 01.04.2021]
 

There is the opportunity for electronic display fom April 14th, 2020 onwards. The doctoral candidate needs to give her/his explicit approval in order to use the format. Please draw up an informal letter and send it to the Office for Doctoral Affairs via email. The theses and reviews will be uploaded to HU-Box. They can be viewed on request. Access will be granted by the Office for Doctoral Affairs by request from an email sent from a HU Account. The documents in HU Box can be viewed, but not downloaded, and are secured by a password which the Office for Doctoral Affairs will send to you in a separate email. The documents will be deleted from HU Box once the display is over. 

 

 
Prolongation of the duration of study (Re-enrolment) [as of 01.04.2021]

Admission [as of March 01.04.2021]
 
 

1. Please send all scanned documents to promotionen.philfak@hu-berlin.de. Signatures may be carried out digitally.

 

2. The Office for Doctoral Affairs will check that your documents are complete.

 

3. Afterwards, the Office for Doctoral Affairs will contact you and ask you to send in certfied copies of your Bachelor's and Master's certficates and diplomas as well as signed copies of your application for admission and the supervision agreement by post.

 

4. The Office for Doctoral Affairs will forward the letter of admission digitally to the doctoral students as well as in the original by post after a short while.

 

5. Please contact the Enrolmet Office for all questions regarding the mandatory enrolment after your admission. 

 

Handing in your thesis and opening the doctoral examination procedures [as of 01.04.2021]
 
 

1. Please make an appointment by email to consult with the Office for Doctoral Affairs via phone or zoom before sending in any documents.

2. Please send all documents by email and by post.

3. All questions on the procedures can be adressed during the consultation.

 

 

Habilititation at the Faculty of Humanities

 

Public display and habilitation colloquium [ as of March 30th, 2020]
 
There will be no more public colloquiums as well as public displays of treatises within habilitation procedures until further notice.

 

Inaugural lectures connected to habilitation procedures
 
There will be no more inaugural lectures connected to habilitation procedures until further notice. The deadline set in the Faculty's habilitation guidelines has been suspended until the essential-only mode is over.

 

 

III. Teaching and studies

 

Regulations by the Deanery of Study and the Examination Committees on Examinations in the winter term 2019/2020 [as of March 19th, 2020]
 
Emergency fund for students [as of March 30th, 2020]
 

Studierendenwerk Berlin has set up an emergency fund for students who have lost their salary due to the Corona crisis and who are in need of prompt support. Find out how to apply at the Studierendenwerk's website.

 

 

Deadline for handing in documents has been extended for students provisionally accepted to their Master's [as of March 19th, 2020]
 

The study department has extended the deadline for students who have already been accepted to their Master's provisionally and who have paid the semester fee until September 30th, 2020. You can hand in proof of you qualification (normally, a your Bachelor's certificate or a credit overview) by that deadline. Respective students will be informed about the extended deadline via email. In this way, they will be re-enroled for the upcoming term. 
The extended deadline will also apply to all students who have not paid the enrolment fee as of now on having paid the fee. Please refrain from further inquiries to the Examination Offices on this matter.

 

 

Deadline for written exams has been extended [as of March 18th, 2020]
 

Since the Berlin libraries, kindergartens and PC-pools have been closed, the period of time set for written exams has been extended to eight weeks as of March 18th, 2020.
Correspondingly, the usual period of time (eight weeks) set for the examination of theses has been suspended as of March 18th, 2020.
Periods of time set in the Study and Examination guidelines will be taken up again from May 13th, 2020 onwards.
You do not need to hand in individual applications for deadline extensions at the Examination Offices, since  the disadvantages mentioned above have been made up by the new regulations.

 

 

IV. Human Resources

 

Planned personnel policies [as of March 24th,2020]
 

Only small teams of staff in human resources and the payroll unit are present on site during the essential-only mode in order to maintain essential operations.
The ongoing payment and renumeration as well as follow-up contracts in cases of continued employment are guaranteed. Further, everything is being done to secure unrefusable applications and inquiries. This includes personnel matters related to maintaining the critical infrastructure of the core areas of the university's essential-only mode; personnel matters related to ongoing appointment procedures and, as best as possible, preparing digital formats for the upcoming semester. On the basis of present knowledge, all other applications and inquiries will be processed on having overcome the currently existing hazards at the earliest possible date. You will receive new information on this matter in due course. That is, further recruitments and personnel policies will take place after the essential-only mode has ended.

Please forward applications that are pertaining to the priorities mentioned above via email. Signatures do not need to be scanned. Necessary supplements or statements do not need to be entered into the documents, these information can be included into the accompanying email. This is to avoid that documents need to be printed, altered, and re-scanned.

 

 

 
Continuing to work in the essential-only mode [as of March 18th, 2020]
 
All members of the university, except for defined core personnel, are obliged and invoked to leave their workplace at the university and to work from home. Please use the services for collaboration and home office provided by the central computer and media services. Please check you personal e-mail at university at least twice a day, even in case of exemption, in order to keep informed about the essential-only mode as well as staying reachable. Further, you are required to visit HU Berlin's website daily in order to stay updated on all current information and regulations. Employees who are not able to access the website and/or inbox should forward a telephone number to their supervisor where they are reachable during core hours.“
„All employees of HU Berlin should, if possible, realize all their regular tasks from home. Employees who cannot realize their regular tasks working from home due to content-related, logistic or technical reasons are to set up exemptions with their supervisors. Supervisors are entitled to exempt employees who cannot continue their work from home without any losses in pay.  In this case, the supervisor needs to inform administration and hand in a statement.“
„All research operations are discontinued, with a few exceptions authorized by the managers of the pandemic planning.“
„Attendance teaching will be discontinued until further notice.“

Payment and remuneration [as of March 20th, 2020]
 
Ongoing payment and renumeration are guaranteed. Their assurance has the highest priority for Humboldt-Universität zu Berlin.

 

 

 
Information for supervisors [as of March 20th, 2020]
 
All supervisors are invoked to communicate with their employees on the continuation of the regular tasks under the conditions of the essential-only mode.
"Supervisors are entitled to exempt employees who cannot continue their work from home without any losses in pay.  In this case, the supervisor needs to inform the administration and hand in a statement.“ (Source: Instruction P from 19.03.2020)
„For parents of children younger than 12, up to ten days of paid exemption can be granted for cases where kindergartens or schools are closed and no alternative care can be assured. This needs to be indicated to administration. “

Inability to work/Sickness during the essential-only mode  [as of March 20th, 2020]
 
„Inability to work needs to be indicated to the respective supervisor (please put the position responsible for the patient file in cc) as it was. You can hand in medical certificates via scan or photo file. Alternatively, you can hand them in once the essential-only mode is over. You should also indicate healthiness to your supervisor after having been sick."

 

Since indications of sickness or healthiness cannot be processed during the essential-only mode, the following procedure has been decided on: Employees who are registered as unable to work at the moment will be registered as healthy on the day after their current medical certificate expires to ensure the continuation of pay. Should the employee be unable to work beyond this date, this will be reigistered once the essential-only mode is over. If applicable, overpayment will be cleared with current earnings, if necessary as deferred payment.

Official trips and research stays abroad  [as of March 23rd, 2020]
 
Official trips and research stays abroad will not be granted, regardless of occasion or destinination, in Germany or abroad. Permits that were already issued are withdrawn.

 

 

V. Budget Division

Lectureships [as of March 26th, 2020]
 
A) Lectureships for the winter term of 2019/2020

 

We endeavour to process all requests for remuneration sent by the departments as soon as possible. Should it not be possible to promptly process requests due to the known circumstances, the faculty administration will not pursue the regular cutoff period (six months for remuneration).

 

B) Lectureships for the summer term of 2020

 

Lectureships for the summer term that have not been granted as of now can and will be granted once the essential-only mode is over.

 

Excursions [as of March 23rd, 2020]
 
Excursions are not permitted until April 20th, 2020 from todays' perspective. Organizers should inform participants about the cancellation or postponement, respectively. All reservations made in connection with the excursion should be cancelled. Additional costs such as fines, default interests or cancellations fees will by covered by the budget divisions of the departments, should they arise.  You can refund  participation fees in case of cancellation or use them at a later point in case of postponement.

 

Reduced processing of internal accountings (invoices) [as of March 23rd, 2020]
 
We are currently developing procedures to settle all invoices under the conditions of the essential-only mode in cooperation with the central budget division and the research service centre.

 

Acquisitions, freelance contracts and service contracts [as of March 23rd, 2020]
 
Please contact Shanna Römisch for any mandatory acquisitions as well as freelance and service contracts. You should hand in all routine documents in hardcopy form once the essential-only mode is over.

 

Reduced processing of internal accountings (lectureships/fees) [as of March 23rd, 2020]
 
We are currently developing procedures to settle all invoices connected to work performed by avocational staff under the conditions of the essential-only mode.
