1. Exam Registration and Exams
Deadlines for Winter Semester 2025/26
- Exam Registration Period: January 5 - 20, 2026
- Exam Period: February 9 - 28, 2026
Registration for the final module examinations takes place online via AGNES.
The deadline for cancelling a registered examination without penalty ends one week before the respective examination date.
Please note that you cannot register for an examination outside the specified registration periods. You cannot withdraw from a registered final module examination after the deadline for withdrawal.
However: if you still decide not to do an exam after the deadline for withdrawal, please let us and the responsible examination office know! (Otherwise we might wait forever to finalize your transcript, because we still expect a grade for that exam!)
For term papers:
- The deadline the International Office has set for term papers is March 1st, 2026.*
- Please be aware that grading term papers can sometimes take a while - even several months. Therefore we advise you to ask your course instructors when they will be able to grade your paper. And it is also helpful to let them know that you need the grade as soon as possible and why.
- In general: It is best to hand in your term papers as soon as possible and communicate with your course instructors regarding time for grading.
*Additional note: the deadline to upload your signed SprachlitCC and your signed Exam Statement is also March 1st, 2026.
Second Examination Period
For students who stay at HU for a whole year (WiSe 25/26 + SoSe 26) there might also be the option for a second exam period. But it is only possible, if the lecturer/examiner is still available. Please ask the lecturer/examiner from WiSe beforehand if the second exam period is possible!
- Second Exam Registration Period: March 14 - 24, 2026
- Second Exam Period: April 7 - April 18, 2026
If you only stay for the WiSe 25/26 at HU it is not possible for you to choose the second exam period, since the exams will be after the WiSe is already over.
How to register for exams?
If you are completing entire modules and need a final module exam (MAP) and grade for them, you must register for the exams online on AGNES during the registration period. Please note that registering for a class is not an automatic registration for the exam. Exam registration is mandatory in order to take an exam and receive a grade!
The exam registration information below applies only to the Faculty of Language, Literature and Humanities! If you are taking modules at another faculty and want to take an exam there, please inform yourself regarding their registration procedure and deadlines.
Step-by-Step Guide: Exam Registration
- Use your SprachLit CC to check if you are completing entire modules and need to take exams. There you will also find the exam type. Then ask your lecturer in which of the classes in the module the MAP will take place. Please note that you only have to take one exam per module. This means that you do not have to take an exam in every single class.
- Written and oral exam usually consist of topics from all/most of the courses of a module, for example VL + SE.
- For Take-Home-Exams it can be different. The exam can be from one or more classes of the module.
- For term papers you can usually choose in which of the module's seminars you want to write them (if there are several seminars in the module). Please also talk to your instructors so they can approve your term paper topic etc.
- Make sure you have your TAN list (security numbers) as you will need a TAN code to register for each exam.
- If you do not have a TAN list, please contact the Incoming Team (exchange-students@hu-berlin.de) or go to their office hours.
- Once you have checked all of this, please follow these instructions to register for your MAPs during the above registration period. It is best to do this as early as possible in case there are any problems. Please note that you also have to register for term papers online on AGNES. Your lecturer will tell you the deadline and the requirements. The deadline for term papers set by the international office is March 1st for WiSe and September 1st for SoSe.
In case of problems (e.g. if you cannot find the exam, you do not have your TAN list) please write to the responsible exam office (and us in copy) in time before the end of the registration period, so that they can register you manually as an exception. Please write in the e-mail that you are an Erasmus student and include the following information: your matriculation number, course of study, title of class and number, lecturer(s), type of examination, date of examination.
Here you can find the e-mail addresses of the examination offices. Please note that Birgit Trettin is responsible for all Erasmus students from the BA and MA programs German, German Literature, German and Historical Linguistics, Linguistics!
If the deadline of the registration period has passed, we unfortunately cannot help you anymore and you will have to take the exam in the second examination period.
Exam Deregistration
If you are unable to take the exam, you can deregister from the exam online on AGNES until one week before the exam date (deregistration is also explained in the instructions above).
- If you missed the deadline for deregistration, please still let us, the lecturer and the responsible examination office know that you will not take the exam.
- Please provide information on the exam (module, course, exam type, lecturer and maybe exam date)
- Here you can find the e-mail addresses of the examination offices. Please note that Birgit Trettin is responsible for all Erasmus students from the BA and MA programs German, German Literature, German and Historical Linguistics, Linguistics!
A no-show for a registered exam will unfortunately be counted as a fail.
- The failed exam will be listed on your Transcript of Records - you will not receive a grade for the exam/module and you will not get the ECTS for the exam. But you will still get the ECTS for completed courses in this module.
► Please remember to change your signed SprachLit CC and the Exam Statement accordingly and upload the documents again to the HU Box if necessary.
► For students who stay one year - exams in Winter Semester: If you do not pass the exam during the first examination persiod in WiSe, you can maybe register for the second exam time (see dates above).
Failed Exams
If you fail an exam, the failed exam will show up on your Transcript. In this case, you will neither receive the extra ECTS from the exam nor a grade. However, the failed exam is separate from the classes you took as part of the module. If you have received the signatures for your classes on your SprachLit CC, then you still receive the ECTS for these classes. Thus, they will count like single classes without grades.

If you would like to apply for exam accommodation, please let us know as soon as possible. We will help you with the application.

2. Signed SprachLit CC + Exam Statement and Transcript of Records
2.1 What is a Transcript of Records?
A Transcript of Records is an official document issued by us (HU-Berlin) that summarizes your academic performance during your exchange studies. It includes important information such as:
- Courses Taken: A list of all the courses/modules you finished in during your exchange program.
- Credits Earned: The number of credits (ECTS / LP = Leistungspunkte) you earned for each course/module.
- Grades Achieved: The grades you received for each course, which reflect your performance. (of course only if you took exams.)
- Duration of Study: The period during which you attended the courses.
The Transcript of Records serves several purposes:
- Proof of Academic Achievement: It provides evidence of the courses you completed and the grades you achieved, which can be important for your home university or future studies.
- Credit Transfer: If you plan to transfer credits back to your home institution, this document is essential for ensuring that your coursework is recognized.
►► Please note that the Transcript you will receive from us only shows classes from the Faculty of Language, Literature and Humanities as well as üWP courses.
2.2 How to receive your Transcript of Records?
The Transcript is not created automatically. You need to send us your signed SprachLit CC + your Exam Statement (see below).
Thus, if you do not hand in the signed SprachLit CC + Exam Statement, you will not receive a Transcript from us.
Please also note that creating your Transcript will take some time since it depends on several departments at HU.
►► You will receive your Transcript of Records after the end of your stay. The document confirms your ECTS and grades at the Faculty of Language, Literature and Humanities.
►► Please note that the Transcript you will receive from us only shows classes from the Faculty of Language, Literature and Humanities as well as üWP courses.
2.2.1 Second course of study at another faculty, Berlin Perspectives or Language Courses at the Language Centre
If you are also enrolled in a second course of study at another faculty, you may receive an extra Transcript from the faculty - please contact the Erasmus+ coordinator of the respective faculty if you have any questions. For Berlin Perspectives or language courses at the Language Centre, you will receive a confirmation of your ECTS and grade directly from the lecturers, which you have to send yourself to your home university for crediting, as these classes will not appear on our Transcript. Thus, in that case, your home university will receive an official Transcript from us (with your ECTS/grades from our Faculty + üWP) and the official certificates from your Berlin Perspectives and Languages Courses forwarded by you.
2.3 Get SprachLit CC signed + fill out Exam Statement
For WiSe 2025/26: THE DEADLINE TO UPLOAD YOUR SIGNED SPRACHLIT CC + EXAM STATEMENT IS MARCH 1st, 2026.
For SoSe 2025: THE DEADLINE TO UPLOAD YOUR SIGNED SPRACHLIT CC + EXAM STATEMENT IS SEPTEMBER 1st, 2025.
The following instructions refer only to Incoming students at the Faculty of Language, Literature and Humanities:
- For each individual class at our faculty, you must confirm with the instructor's signature that you have passed it and will receive the ECTS. For this purpose, please use your SprachLit CC.
- If necessary, update the information on your SprachLit CC before getting the signatures. (For example, please check the ECTS/LP, name of Intructor, module/course title.)
- If you dropped a course / exam / module during the semester, please delete those from your SprachLit CC. Only courses/modules you did finish and exam you took or will take should be on your SprachLit CC.
- Getting instructors signatures on SprachLit CC: Either digitally or in person.
- All signatures must be on ONE SprachLit CC!!
- For lectures (Vorlesungen), you can sign them yourself with your own name (except for classes at the Institute of Romance Studies, where lectures are also signed by the lecturers!).
- If you have a lecture with more than 2 ECTS, for example in an üWP course, please get the lecturers signature.
- Print your SprachLit CC to get signatures in person: Bring your complete SprachLit CC to the last session of your class (or the one before that) so that the lecturers can sign them.
- Remember to scan your SprachLit CC after you received all signatures and save it as a PDF file.
- If you cannot get signatures in person or prefer digital in general: Send your complete SprachLit CC to each instructor individually to get their digital signatures.
- >> So it might take some time to get all signatures on the same document.
- Always check that the signatures are on the correct lines.
- Please upload all 3 pages of your SprachLit CC.
- Fill out the Exam Statement and sign it yourself.
- You can find the template of the Exam Statement here.
- Even if you don't take any exams you still have to fill out and sign the exam statement!
- If there are changes with the exams you are taking after uploading the Exam Statement, please let us know. This could be the case if you wanted to write a term paper, but decide against ist last minute. If we are not informed about it, we assume you will still do the exam and wait with creating your Transcript of Records.
- Once all courses on your SprachLit CC are signed and you did fill out/sign your exam statement, please upload the documents as PDF files at the following link:

IMPORTANT:
- You should already have your SprachLit CC ready from the beginning of the semester. Before getting signatures please check if all info/courses/exams are correct on your SprachLit CC.
- In case you need to fill out the SprachlitCC from again: You can find the templates of Exam Statement (and SprachLit CC) on our website under "Templates and Links".
- Please upload all 3 pages of Sprachlit CC and 1 page of Exam Statement.
- If you didn't take any courses at Sprachlit faculty or ÜWP courses, you don't need to hand in those documents. But please let us know via email.
- If you only take single courses and no exams, you still have to fill out/sign the exam statement!
- You don’t receive a confirmation after uploading your file! The upload was successful if the file name and “Hochgeladen” (uploaded) are displayed at the bottom of the box.
- For scanning you can use an appropriate app and for merging PDF files you can use free online tools.
- If there are changes regarding your exams after the deadline, please let us know via email.
- Also if you can't get all the signatures until the deadline, please let us know and upload the documents as soon as you received als signatures. Until we receive the documents no Transcript of Records will be created.
WiSe 25/26: THE DEADLINE TO UPLOAD YOUR SIGNED SPRACHLIT CC + EXAM STATEMENT IS MARCH 1st, 2026.
SoSe 2025: THE DEADLINE TO UPLOAD YOUR SIGNED SPRACHLIT CC + EXAM STATEMENT IS SEPTEMBER 1st, 2025.
Once everything has been confirmed and your grades are in (if you are taking exams), the exams office will create the Transcript of Records. This will then be forwarded to us and we will email it to you and your home university. Please note that this may take some time, as we also have to wait for your grades. This means, especially if you are writing term papers, this may take longer. Please do not ask us if your grades are already available. We do not have access to your grades. Please contact your instructors directly.
► IMPORTANT: You can only receive your Transcript if you upload the signed SprachLit CC + Exam Statement completely and correctly. If you do not do this, you will not be able to receive your Transcript.
2.4 If you need your Transcript by a certain date
Please upload your signed SprachLit CC + Exam Statement as soon as possible. Then please ask your instructors if they can correct your exams by a certain date.
If that works out, please email us with the date you need the Transcript or Records (ToR) by.
Please allow enough time between grading and your deadline, as processing your SprachLit CC + Exam Statement and creating the Transcript also takes some time (depending on the availability of the exam offices).
►If you have any questions or problems regarding the Signed SprachLit CC, Exam Statement or Transcript of Records, please always contact us first and not the examination offices!
3. Learning Agreement "After" and Certificate of Departure
Please note that you receive both documents from your home university to fill out and not from us.
Learning Agreement "After the Mobility"
For some mobilities a Learning Agreement "After" is required. You can only fill it out after you have received your Transcript since you must list all of the classes/modules you passed as well as your grades. Then you can send it to us and we can sign it digitally.
If you need a preliminary Learning Agreement "After"
If you need a preliminary Learning Agreement "After" to receive your grant, please let us know. Please note that you must have uploaded your signed SprachLit CC + Exam Statement so that we can sign it. Fill out the table with all of the classes you have received a signature for and put “pending” if you took and exam but the grades are not yet in. Send us your filled out LA "After" via e-mail. Once your grades are in, we can also sign a final LA “After” if you need it.
Certificate of Departure
If your home university requires you to fill out a Certificate of Departure (or Certificate of Stay/Attendance), please send us the document via email (ects.sprachlit[@]hu-berlin[.]de) to get it signed.
Please make sure that you fill out the document with all necessary information:
- with all of your personal information
- Responsible person at HU-Berlin: Saskia Asmus; internationales.sprachlit[@]hu-berlin[.]de; International Coordinator at the Faculty of Language, Literature and Humanities
- Start date of semester at HU-Berlin: As start date you can put the date of our in-person orientation (e.g. SoSe 2025 > April 7, 2025) or the start of lectures at HU-Berlin (e.g. SoSe 2025 > April 14, 2025). In case you had an intensive German language course before the start of the semester, please put the first day of the language course as your start date (if you home university allows it).
- End date of semester at HU-Berlin: As end date, put the date of your last course or in-person exam (term papers do not count here). For Winter Semester it should be around mid/end of February and for Summer Semester it should be around mid/end of July.
- Please note: The deadline of term papers cannot be the end date, because your physical presence at HU/in Berlin is not required for that.
- The Erasmus+ funding is based on the actual semester dates and your presence in the host country, not on individual plans or remote academic work.
Please note, that we can only sign it on the end date or after that date.
4. Access to HU-Account and AGNES
Please be aware that only have access to your HU-Account during the semester you are enrolled in at HU-Berlin.
- The semester dates of HU-Berlin are: Winter Semester October 1st until March, 31st, Summer Semester April 1st until September, 30th.
After the semester ends your HU account will be deactivated and you can no longer use it to log in on AGNES or check your HU mail address.
So make sure to save important documents before that, take screenshots or also use your private/home university email address for correspondence.
What can only be accessed with a HU-Account?
- On AGNES:
- Your Class Schedule / Stundenplan
- Exam Registration
- Certificates (Enrollment Certificate / Studienbescheinigung, Immatrikulationsbescheinigung)
- Performance Chart / Leistungsübersicht (It is also called "Transcript of Records" on AGNES, but it is not the official Certificate you will receive from us. It has no signature/stamp and it might not list everything.)
- HU mail (for example on Roundcube)
